Patient Registration Department Moves
As of January 22, 2007, the Patient Registration Department at Holzer Medical Center (HMC) in Gallipolis, Ohio, will be relocated from the Emergency Department area to the first floor of the Hospital next to the Cashier's office. At this time, a registration clerk is available to register outpatient radiology procedures in this new area Monday through Friday, between the hours of
6 am to 5 pm.
"Moving Patient Registration will enable us to provide more efficient service for our patients, therefore resulting in a reduced wait time," stated Bev Morgan, Manager of Patient Access at HMC. "Previously, clerks were responsible for registering emergency visits along with outpatient and inpatient procedure patients. With this move, clerks will be able to spend more one-on-one time with the patients who are scheduled for procedures, and designating the Emergency Department area for those who are in need of emergency services only."
The relocation will allow Patient Registration to work with patients to check with insurance companies on coverage, etc. when preparing for procedures. In the next phase of relocation, to be completed by late February, patients will register for inpatient and outpatient procedures, excluding emergency services, Monday through Friday, between the hours of 6 am to 5 pm. Registrations not within this time frame will continue to take place through the Emergency Department.

Admissions Department
The Admitting Department of Holzer Medical Center, Gallipolis provides customer service through the registering of inpatients and outpatients, insurance verification, and informing patients about their stay, such as providing information about the hospital and what to expect from the billing process. These services are provided to patients and their families in a professional and empathetic manner.
Admissions Specialists are responsible for obtaining all pertinent information during inpatient registration, outpatient registration, emergency registration, and observation. Admissions handles a variety of tasks each day, including greeting guests and visitors to the hospital and answering phone calls and faxes.

Pre-Admission Department
Pre-Admission at Holzer Health Systems offers both patient and family an
opportunity to learn more about your elective procedure and the recovery
process. Labs, EKG’s, and x-rays are completed, and every patient
receives a teaching session with a registered nurse.
You will leave Pre-Admission with a clear understanding of what to
expect from your surgery or test and recovery period. At the
Pre-Admission Department, we hope not only to put you at ease, but to
help avoid delays on the day of your admission.

Pre-Admission Services
Holzer Health System’s Pre-Admission service is designed to benefit
everyone involved with your care, but most especially you and your
family. We work with patients, family members, your physician or
surgeon, the anesthesiologist and CRNA’s, the nurses, and the hospital.
Our goal is to make certain that everyone and every department involved
in your care work together smoothly to provide you with the best care
possible.
Pre-Admission works with patients receiving services including general
surgery, orthopedic surgery, urology procedures, ENT, cardiac diagnostic
and intervention, open heart surgery, radiology, OB/GYN, ophthalmology,
pediatric surgery, brachytherapy, and more.
Our services include:
- Registration for surgical, invasive, cardiac cath & interventional
procedures.
- Patient and family education (explanations, pamphlets, videos, and
referrals for ASU, cardiac cath, radiology, and surgical procedures).
- Nursing / Anesthesia Health History Assessment.
- Orthopedic Total Joint Classes for both patients and their caregivers.
- Chart and data collection for all hospital elective surgery and
radiology procedures.
- Pre-operative surgery phone calls for arrival times.
With your paperwork and testing completed, waiting time is decreased and
further anxiety is eliminated on the day of your surgery. Patients and
family members have this one-on-one opportunity with an experienced RN
to ask questions and ease concerns.
At the Pre-Admission Department, our experienced nurses provide
screening for allergies, coagulation problems, anesthesia reactions,
medical clearance, referrals, taking of herbal drugs, and other
medications. Our staff works hard to create a positive relationship
between you, your physician, and your nurse, which improves patient
outcome.
Discharge planning, referrals, and coordination of specific ancillary
services are provided on an individual basis.
Planning Checklist
- Plan for the care you will need when you return home by discussing any
questions or concerns with your doctor prior to your surgery.
- Do not eat or drink any thing after midnight unless you have
been instructed differently.
- Do not wear makeup or jewelry on the day of your procedure. Remove all
jewelry from all pierced sites.
- Do not bring any valuables.
- Make arrangements to be driven home after you have been
discharged.
- Arrive at the hospital 1 ½ - 2 hours prior to your procedure unless
you have been instructed otherwise.
Orthopedic Classes
Orthopedic Classes offer an environment for sharing concerns
and meeting with all disciplines who take care of you following your
surgery. We use a “holistic” approach in our education programs offering
information from seven ancillary staff (Chaplain Services, Physical
Therapy Services, Occupational Therapy Services, Social Services,
Respiratory Therapy Services, Nutrition Services, and Nursing Services).
We also offer a Power Point presentation for patients and caregivers to
follow along during the education presentations.
Phone Interviews for Pre-Admission
We offer phone interviews as a convenience for patients who are unable
to come to Pre-Admission or are having pre-operative testing done
elsewhere.
Before your interview you should:
- Know the name of the procedure or surgery for which you are scheduled.
- Have a basic understanding of the procedure and an explanation of any
risks involved.
- Please bring a list of the medications, strengths, and doses that you
take. We need to know all the medications, herbs, including all the
over-the-counter drugs.
- Know your medical history. We need the most accurate information about
you as possible. If you have trouble speaking or remembering, you may
want to bring your spouse, adult child, or a close friend with whom you
have shared this information.
- Bring your insurance card(s) with you. As a suggestion, you may want
to look over your insurance benefit coverage before coming to the
hospital. Call your insurance company if you have questions.

Frequently Asked Questions
When is my surgery?
Arrival times are available after 12 Noon on the day prior to
your scheduled surgery or after 12 Noon on Friday when your surgery is
scheduled for Monday. You may also call 740-446-5000 after 5 PM to speak
with the hospital supervisor for arrival times.
Will insurance pay for the procedure?
Pre-certification by the Registration Department does not
guarantee payment. We recommend you contact your insurance carrier to
make certain of the benefits available to you.
Why am I still waiting when I was told to be here at 8:30 AM?
Your recommended arrival time is not the same as the time of
your surgery. The Physicians and Operating Room staff would like you to
be here approximately 1 ½ –2 hours prior to your procedure, so that all
necessary steps can be completed for your comfort, safety, and
education.
Do I really need to come to Pre-Admission?
The patients miss out on the “one-on-one” teaching from the RN
and the opportunity to establish a more personal relationship with those
taking care of you.
Department History
Established in 1996, the Pre-Admission Department has evolved over the
years to become a vital link in service to our customers, both at Holzer
Clinic and Holzer Medical Center.
The Department moved from the Holzer Clinic setting to its location near
Ambulatory Surgery in June 1999. This move has enhanced pre-operative
efficiency. We facilitate “one–stop-shopping” by addressing diagnostic
testing, registration, education, assessment, and
discharge planning for elective surgery patients. The department meets
all Advisory Board preparedness standards as well as National ASPAN
standards.
Press Ganey Patient Surveys consistently rate the Pre-Admission Department
in the 97–99 percentile for Pre-Admission satisfaction.
Department Personnel
Nursing Staff:
- Certified RN Manager with years of
experience in Medical/Surgical, Telemetry, Recovery, Education nursing.
- RNs with many years of experience in the Operating Room, Critical
Care, Ambulatory, Education, Recovery, and Physician’s Office settings.
- Pre-Admission Department nurses are certified in surgical related
fields.
Registration Staff:
- Experienced staff members are ready to assist you with your
registration and admission.
- Coordinators of Waiting Area Staff and Volunteer Services:
- Caring individuals to assist the process of admission and family
waiting. Your concerns may be addressed to this staff and resolutions
will be provided in a timely manner.
